Basic Function

HF Sinclair is seeking a Procurement Process and Systems Analyst  in Dallas, TX who will be responsible to provide key administrative support for procurement systems, focusing on optimizing processes throughout the source-to-pay lifecycle. Evaluates procurement workflows to identify areas for improvement and drives initiatives aimed at enhancing operational efficiency. Ensures that procurement systems and processes align with company objectives and industry best practices. 

Job Duties

 

Technology and Systems Administration:

  • Collaborate with IT to implement and maintain procurement systems and technologies (e.g., e-procurement platforms, ERP systems), including maintaining access requests.
  • Provide end user support for procurement systems to ensure that end users can effectively utilize the systems to manage activities.
  • Ensure system configurations align with optimized procurement processes and troubleshoot system related issues in collaboration with stakeholders and IT.
  • Provide training and support to procurement teams and stakeholders on new processes, systems, and tools.
  • Develop and maintain process documentation, training guidelines, and standard operating procedures.

Procurement Process Analysis and Optimization:

  • Lead or contribute to initiatives focused on optimizing procurement workflows.
  • Evaluate current procurement processes and workflows, identifying inefficiencies, bottlenecks, or areas for improvement.
  • Recommend and implement process improvements to enhance source-to-pay efficiency and effectiveness.
  • Track and measure the success of process enhancements to ensure continuous performance improvements.

Data Analysis and Reporting:

  • Collect and analyze procurement data (e.g., vendor performance, spend analysis, procurement cycle times) to identify trends and opportunities.
  • Develop and maintain dashboards and reports for key performance indicators (KPIs) to assess procurement efficiency and effectiveness.
  • Prepare detailed reports and presentations to communicate information, insights and recommendations to stakeholders and management.

Collaboration and Stakeholder Engagement:

  • Work closely with procurement teams, suppliers, and cross-functional departments (e.g., finance, IT, operations) to map, document, and streamline workflows.
  • Facilitate meetings and workshops to gather feedback from stakeholders and implement process improvements.

Compliance:

  • Ensure that procurement processes adhere to company policies, legal requirements, and industry standards.
  • Support data gathering and support for internal and external audit requirements.

Continuous Improvement:

  • Stay up to date on procurement best practices, industry trends, and new technologies.
  • Lead or participate in continuous improvement initiatives to ensure the procurement function is always evolving and aligned with organizational goals.

Other special assignments or tasks assigned, as determined from time to time by managers discretion.

Experience

A minimum of 0-2 years related experience is required. Experience in procurement, procurement systems and/or inventory control are required.

 

Education Level

A minimum of a Bachelor’s Degree, in Business Administration, Supply Chain Management, or a related field.

Required Skills

Understanding of source to pay basic processes, with the ability to apply this knowledge in providing supporting system support, procurement process support and reporting; experience with eProcurement systems (e.g. SAP, Coupa, Ariba); advanced reading and writing skills; knowledge of Excel and proficiency in Microsoft Office Suite; experience with requirements gathering and process documentation. Ability to prioritize tasks, manage multiple initiatives, and meet deadlines. Strong written and verbal communication skills to effectively interact with stakeholders at all levels

Work Conditions

Office based with occasional refinery work and with up to 25% travel required by land or air. May include petroleum refinery, warehouse/plant environment, and/or out-of-doors environment.
