Basic Function

Provides administrative support and assists in the technical support of department operations. May work under direction of a Manager or Director.

Job Duties

Plans and coordinates local or national meetings and events, including preparing agendas, preparing and disseminating meeting materials, preparing meeting room and environment including refreshments or meals required, plant tours, while maintaining confidentiality at all times
• Set up new vendors into SAP
• Set up annual purchase orders for strategic vendors
• Prepares accounting documentation such as expense reports and invoice processing via SAP and applying correct accounting procedures and coding for approval
• Investigates issues impacting purchasing transactions, invoice discrepancies, service discrepancies, and/or other issues with Accounts Payable
• Negotiates, monitors and evaluates routine service contracts
• Scribe for Mississauga R&D Joint Health and Safety Committee
• Set up authorities for expenditures for Sales customer capital projects
• Summarizes time associated with all R&D projects annually for master submission
• Develops administrative policies and procedures as required; may research technical and policy issues and assist in the implementation of recommendations
• Coordinates updates of distributor inventory and contract information
• Coordinates inventory and purchasing schedule for department stationary supplies
• Co-ordinates Laboratory safety coat supply and spent rag laundry service
• Provides backup to other administrative assistants, as needed, to assist in smooth function within the offices
• Maintains an adequate office environment and recommends maintenance, if required.
• Special assignments or tasks assigned to the employee by their supervisor, as determined from time to time in their sole and complete discretion.

Experience

  • A minimum of five years of related administrative experience

Education Level

  • Post-secondary education however, a combination of education and experience may be considered
  • College diploma or university degree preferred

Required Skills

  • Strong word processing, database, spreadsheet and other applications
  • Advanced organization skills required.
  • Team player, self starter, independent worker, good time management and analytical skills and priority setting ability.
  • Ability to effectively communicate with others, both in written and verbal communication;
  • Ability to work independently and perform basic mathematical calculations.
  • Working knowledge of SAP preferred

Job conditions require standing, walking, sitting, twisting, stooping, crouching, kneeling, talking or hearing, making precise hand and finger movements, reaching or grasping. Job conditions may require making visual inspections, lifting and/or carrying up to 25lbs, pushing and/or pulling up to 25lbs.
